1. To forward your email account to Gmail, login to CPanel, and go to the Forwarders icon. Or contact Krohnert.net Consulting for assistance.
   NOTE: If you are switching from a Blackberry, see if you need to delete any old forwarders to your Blackberry account.
2. Go to http://www.gmail.com on your computer, and log in with your Gmail email address and password.
3. Click Settings in the top-right corner of the window.
4. Click Accounts and Imports in the top nav bar.
5. Click the Send mail from another address button.
6. Ensure your name is displayed how you wish when you send mail from this account, type the email address you want mail sent from on your phone, and then click Next Step.
7. Select “Send through (your domain) SMTP servers”, and then click Next Step.
8. Type mail.(yourdomain).com (or .org)  in the SMTP server field.
9. Select 25 from the Port drop-down field.
10. Type your full email address in the username field and your password in the Password field.
11. Click Add Account.
12. You will receive a verification email to the email address you added. Click on the link in the email or type the code in the field on the screen and click Verify.
13. After verifying your email address, go back to the Settings -> Accounts and Imports page, and click “make default” next to the email address you want mail sent from on your phone.

Your email is now being forwarded to Gmail, which will push your messages to your Android phone. Gmail, both on the computer, and on your phone, are now configured to send email from the email account you added.

You may also want to sync your Gmail calendar with your Outlook calendar. Google has provided a sync program to do that. Just follow these instructions to install and configure Google Calendar Sync: http://www.google.com/support/calendar/bin/answer.py?hl=en&answer=89955

To configure Gmail to fetch your POP email accounts:

1. In Gmail, go to Settings in the top right corner of your screen.
2. Click the Accounts & Imports tab, and find the Check mail using POP3 section.
3. Click Add a POP3 email account.
4. A pop-up window will appear. Type the email address you want to check, and then click Next Step.
5. In the username field, type your full email address. In the password field, type your password.
6. You can select the option to label incoming messages if desired, and choose a label for them. You can also optionally choose to Archive the messages (skipping the Inbox). Do NOT select the option to leave a copy on the server – that will fill up your mailbox on our server.
7. Click Add Account.
8. Select “Yes, I want to be able to send mail as (your email address), and then click Next Step.
9. Ensure your name is displayed how you wish when you send mail from this account, and then click Next Step.
10. Select “Send through (your domain) SMTP servers”, and then click Next Step.
11. Type mail.(yourdomain).com (or .org)  in the SMTP server field.
12. Select 25 from the Port drop-down field.
13. Type your full email address in the username field and your password in the Password field.
14. Click Add Account.
15. You will receive a verification email to your email address. Locate the email message in Gmail, and click on the link in the email or type the code in the field on the screen and click Verify.

Gmail is now configured to fetch the email from the account you setup. And after you verify the account in step 15, you will now have an option when you send email to choose the appropriate sending account in the From drop-down list. If you want to set your custom email address as your default FROM address, after verifying, go back to the Settings -> Accounts and Imports page, and click “make default” next to the email address you want mail sent from by default.

In Microsoft Outlook:

1. Go to Tools -> Rules and Alerts.
2. Click New Rule.
3. Select “Start from a blank rule.”
4. Select “Check messages when they arrive,” and then click Next.
5. Select “through the specified account.”
6. In the bottom field, click “specified,” and then select the account you want to move mail from.
7. Click Next.
8. Select “move it to the specified folder.”
9. In the bottom field, click “specified,” and then select the folder you want to move the messages to.
10. Click Finish.

In Outlook Express:

1. Go to Tools -> Message Rules -> Mail.
2. You will be presented with one of the following windows:
   • If the Message Rules window opens, click New.
   • If the New Mail Rule window opens, skip to step 3.
3. In section 1, select “where the message is from the specified account.”
4. In the bottom field, click “specified,” and then select the account you want to move mail from.
5. In section 2, select “move it to the specified folder.”
6. In the bottom field, click “specified,” and then select the folder you want to move the messages to.
7. Click OK, and then click OK again.

You can filter SPAM messages with ***SPAM*** at the beginning of the subject line by setting a rule in your email client to move these messages to a separate folder. There is a Rules Wizard in Outlook and Outlook Express to help you create a rule.

Occassionally SPAM messages will get through that are not identified as SPAM. If you are receiving an unusual number of SPAM messages that are getting through without being identified, especially if the messages are very similar in nature (such as the same sender, subject line, or the content of the message).  If this is happening, we can probably re-configure your SPAM filtering to block these messages if you send us several sample messages.

In order to create an effective filter, we will need to see the complete message including header information for the SPAM messages that you are receiving. There are two ways to forward the emails so that we can see all the header information…

(1) Create a new email to hosting@kncihosting.com and then select “Insert” -> “Item”. Hold the Ctrl key and then click to select the messages that you want to attach.
–OR–
(2) Hold the Ctrl key and then click to select the messages that you want to send, and then right-click and select Forward. That should open a new message window with the individual spam messages attached. Send the message to hosting@kncihosting.com.

NOTE: Either option will work in Microsoft Outlook. In Outlook Express, only option (2) will work.

In Microsoft Outlook:

1. Open Microsoft Outlook.
2. Go to Tools -> E-mail Accounts in the menu.
3. Select “View or change existing e-mail accounts”, and then click Next.
4. Select the e-mail account that you want to be the default from the list, and click Set as Default.
5. Click Finish.  

In Outlook Express:

1. Open Outlook Express.
2. Go to Tools -> Accounts in the menu.
3. Select the e-mail account that you want to be the default from the list, and click Set as Default.
4. Click Close.

In Microsoft Outlook:

1. Open Microsoft Outlook.
2. Go to Tools -> E-mail Accounts in the menu.
3. Select “View or change existing e-mail accounts”, and then click Next.
4. Select your e-mail account from the list, and click Change.
5. Click the Advanced tab.
6. Check the box “Leave a copy of messages on server”.
7. Check the box “Remove from server after _ days”. Set this to the desired number of days.
8. Click OK.
9. Click Next, and then click Finish.

In Outlook Express:

1. Open Outlook Express.
2. Go to Tools -> Accounts in the menu.
3. Select your e-mail account from the list, and click Properties.
4. Click the Advanced tab.
5. Check the box “Leave a copy of messages on server”.
6. Check the box “Remove from server after _ days”. Set this to the desired number of days.
7. Click OK, and then click Close.

To create an auto-responder:

1. Login to webmail.
2. Below the icons for Horde or SquirrelMail are icons for additional e-mail options. Click the AutoResponders icon.
3. Click Add Auto-responder.
4. Fill in the From, Subject, and Body fields.
   • In the From field, type your full name (NOT your e-mail address).
   • In the Subject field, type the subject you would like your auto-responder to have. For example, ”Out-of-Office from __ to __”. To include the subject of the original email type %subject% where you would like it to appear, such as ”RE: %subject%”.
   • In the Body field, type your message, such as the one suggested at the beginning of this article.
5. Once you’ve completed your message, click Create/Modify, and it will confirm that your message is now enabled.

An important thing to remember is that you need to go back in and turn this message off when you return! You may want to set yourself a reminder on your calendar, so that you are reminded when you get back to go disable this message.

To disable an auto-responder:

1. Login to webmail.
2. Below the icons for Horde or SquirrelMail are icons for additional e-mail options. Click the AutoResponders icon.
3. You will see the subject of your auto-responder listed on this page. Click Delete.
4. Click Yes when prompted if you are sure you want to delete the auto-responder, and it will confirm that your message is now deleted.

In Microsoft Outlook:

1. Open Microsoft Outlook.
2. Go to Tools -> E-mail Accounts in the menu.
3. Select “View or change existing e-mail accounts”, and then click Next.
4. Select your e-mail account from the list, and click Change.
5. Confirm that mail.yourdomain.com (for example, mail.kncihosting.com) is in the Incoming mail server and Outgoing mail server fields.
6. Click More Settings.
7. Click the Outgoing Server tab, and ensure that the box “My outgoing server (SMTP) requires authentication” is checked.
8. Click the Advanced tab.
9. Type “26” in the Outgoing mail (SMTP) field.
10. Click OK.
11. Click Next, and then click Finish.

In Outlook Express:

1. Open Outlook Express.
2. Go to Tools -> Accounts in the menu.
3. Select your e-mail account from the list, and click Properties.
4. On the Servers tab, confirm that mail.yourdomain.com (for example, mail.kncihosting.com) is in the Incoming mail server and Outgoing mail server fields.
5. Also on the Servers tab, ensure that the box “My server requires authentication” is checked.
6. Click the Settings button and ensure that the box “Use same settings as my incoming mail server” is checked.
7. Click the Advanced tab.
8. Type “26” in the Outgoing mail (SMTP) field.
9. Click OK, and then click Close.

To set-up your e-mail in Microsoft Outlook:

1. Open Microsoft Outlook.
2. Go to Tools -> E-mail Accounts in the menu.
3. Select “Add a new e-mail address”, and then click Next.
4. Select POP3, and then click Next.
5. Fill in all the fields on this screen:
   • Type your name in the Your Name field.
   • Type your full e-mail address in the Email Address field.
   • Type mail.yourdomain.com (for example, mail.kncihosting.com) in the Incoming mail server and Outgoing mail server fields.
   • Type your full e-mail address in the User Name field.
   • Type your e-mail password in the Password field.
6. Click More Settings.
7. Click the Outgoing Server tab, and then check the box ”My outgoing server (SMTP) requires authentication”.
8. Click the Advanced tab.
9. Type ”26″ in the Outgoing mail (SMTP) field.
10. To leave a copy of incoming messages on the server for a period before removing them, so that they are accessible via webmail, check the box “Leave a copy of messages on server”, and then check the box “Remove from server after _ days”. We recommend setting this to 7 days or less, to avoid filling up your mailbox on the server.
11. Click OK.
12. Click Test Account Settings to verify you can successfully send and receive e-mail.
13. Click Next, and then click Finish.
