Configuring e-mail in Microsoft Outlook

To set-up your e-mail in Microsoft Outlook 2016 or later:

  1. Open Microsoft Outlook.
  2. Go to the File tab, then click Add Account.
  3. Type your email address in the Email address field, and then click Advanced Options.
  4. Check the box that says “Let me set up my account manually“, and then click Connect.
  5. Select POP or IMAP, then click Next.
    POP downloads your inbox to your local computer, while IMAP leaves everything on the server. If you use IMAP, you will need to archive your mail regularly to avoid filling up your email quota on the server. For this reason, we typically recommend using POP.
  6. Review the account settings screen. They are slightly different for POP vs IMAP.

POP Account Settings

  • Incoming mail should be mail.yourdomain.com, port 995 (POP). Select the checkbox “This server requires an encrypted connection (SSL/TLS)”.
  • Outgoing mail should be mail.yourdomain.com, port 465, and encryption method should be set to “SSL/TLS”.
  • Under Message Delivery, leave the box unchecked, unless you know you want the mail delivered to an existing PST. If you’re not sure, leave this blank. You can always change it later.
POP Account Settings

IMAP Account Settings

  • Incoming mail should be mail.yourdomain.com, port 993 (IMAP), and encryption method should be set to “SSL/TLS”.
  • Outgoing mail should be mail.yourdomain.com, port 465, and encryption method should be set to “SSL/TLS”.
IMAP Account Settings
  1. Once you have specified the correct settings for your POP or IMAP account, click Next.
  2. Type your email password in the field, and then click Connect.
  3. Click OK.

To set-up your e-mail in Microsoft Outlook 2013:

  1. Open Microsoft Outlook.
  2. Go to the File tab, then click Add Account.
  3. Select “Manually configure server settings or additional server types“, and then click NextDon’t see this option? Go to the Outlook 2016 instructions.
  4. Select POP or IMAP, then click Next.
  5. Fill in all the fields on this screen:
    • Type your name in the Your Name field. This will display in the From field of your outgoing messages.
    • Type your full e-mail address in the E-mail Address field.
    • Type ws1.kncihosting.com in the Incoming mail server and Outgoing mail server fields.
    • Type your full e-mail address in the User Name field.
    • Type your e-mail password in the Password field.
  6. Click More Settings.
  7. Click the Outgoing Server tab, and then check the box “My outgoing server (SMTP) requires authentication”.
  8. Click the Advanced tab.
  9. Type “26” in the Outgoing mail (SMTP) field.
  10. To leave a copy of incoming messages on the server for a period before removing them, so that they are accessible via webmail, check the box “Leave a copy of messages on server“, and then check the box “Remove from server after _ days“. We recommend setting this to 7 days or less, to avoid filling up your mailbox on the server.
  11. Click OK.
  12. Click Test Account Settings to verify you can successfully send and receive e-mail.
  13. Click Next, and then click Finish.
